hi- after meet last night, decided to visit this forum- and saw how few posts there are here-- however, in an effort to test this for future, have put a post here now, instead of the usual group e-mail via yahoo- so here goes-
my views on the meet last night- great attendance, and I thought a good constructive enthusiastic meeting- its clear to me like steve, that a committee of sorts is needed- I belong for eg to Thamess mcc ( visit the site at www.thamesmcc.org), and we have there 95 members, with a committee of 15 to run it- we list the club officers on the site, I do the website and maintain it, and we all do various club duties as members and as committe members, in addition to the riding, as a condition of entry into events- trf is not the same, but there may be a germ of an idea here---
So to sum up- I thought the suggestions last night were good, constructive, and Steve does a great job, but its obvious to all he cannot and should not have to continue to carry all the burden- as it has been until now--- 'no steve, no club.'
The various roles needs also to be reviewed from time to time, ie an agm needs to be held, because no one wants to get lumbered in perpetuity for a job--this is as we all know the usual format ( and downfall) for all committees and must try to avoid this trap . So we move foward, and I know it will work .

re e-mails- I do not want to log onto a forum if there are group e-mails daily-it seems from the stats on these pages, not many do either- time does not permit it, and its an extra hassle-- -- I personally find it easier just to do the e-mails, an the threads etc are not a problem for me- I know others disagree- but I am happy to switch to forum use only, if thats the way it will be done in future- so whatever Steve Taylor comes up with re various formats, thats fine by me- in the meantime it will be interesting to see how many replies etc the are to this topic now.....

Hi Brian, Good comments. Re-Committee, I guess the committee should meet every month, but perhaps 2 weeks before club night. What do you think, and what do others think? I need to get the new club night agenda put on to web site and this forum.

Club Night & Club - Notes, New Roles, & Way Forward

Thanks to all that attended, we had a really good turn out & discussion.
Below are the note from the meeting:

We agreed to the following structure for club night:

8-30 Arrive, informal chat & map marking.
9-00 Formal part of the evening.
- Welcome to new members. New members introduce themselves.
- Rights of Way & Any Other News, Updates.
- Talks/Topics. We felt that this could be every month or bi-monthly.
- Collect £1 from members for club venue hire.
10-00 End of formal part. Note: This would vary depending upon topics. If
needed we can spend a lot longer with Talks depending upon who we get, and
adjust times accordingly/cut things out to make room. Or it may finish
earlier.
10-00 Talk to new members, provide information, explain how we operate etc.
Informal chat & map marking.
10-30 Finish

New Roles:
Club Night Co-ordinator - Dean Rogers
Master Maps - Mike Wheaton, Brian Cohen
New Chairman - Mike Mcgarry
Meet New Members/Provide Info - Chris Edwards and Steve Sharp
Run Co-ordinator - Gavin Derriman

Forum & Yahoo - This generated lots of debate. We really need one system
that meets our needs. Steven Taylor will investigate both systems, and what
they can offer. He will look into the best format for us, and present his
findings to us in January 2010 Club Night and via Yahoo. Steven to discuss
with interested parties including Robin Sinclair, Andy Lush, Viv Offered,
Michael Edmonston & Steve Sharp.
Equipment for talks - Tim Boyd can provide projector for connecting to lap
top. Belinda can provide digital gear/kit. (need to get more info)

TRF Sign - Provide a TRF sign on front door of venue. Can someone print &
laminate one?

Steve Sharp to contact individuals above to discuss these in more detail.

Steve Sharp to ask Mike Mcgarry & others to review material an information
we send to new members.

No club night in December. Next club night January 2010.

Steve --a good point made re committe meetings--- ,apart from possibly an AGM, I think possibly an additional meet 2 weeks prior might be too much---its hard enough to find time as it is--- so how about: either a short committe meet on the club night, say 15 mins prior to main meet, or even say during the meet at say 8.30 pm on a club night- that way its 2 birds,one stone-and the job gets done--- etc-- what do you think-- cheers bc

The last few clubnights have been much much better, and it was good to see a more formal structure for part of the meeting and even better to see people stepping up to the plate to help carry some of the weight and provide direction to move this club forward.


With regards the forum development, there's been a lot of good positive work going on behind the scenes and now its time to get some more interesting and up to date content up :D
